Meopham Village Hall

Hire Terms and Conditions

  • DAMAGE, BREAKAGES & LOSSES: It will be necessary for Hirers to pay a deposit which will be returned (without interest) after the hire, less the cost (fixed or estimated by the Management) of repairing any damage and remedying all defaults or replacing items lost by the Hirer.
  • Any damage to the building, fixtures and fittings, equipment and furniture, breakages of crockery etc. must be reported to the Caretaker or, in her absence, to the Booking Secretary.  The Hirer is responsible for all damage and breakages during the period of hire.
  • Dinner crockery and cutlery may be hired for a charge.   The use of tables & chairs from private hire firms is acceptable.
  • Halls and rooms must be left tidy, cleared of Hirer’s equipment and other articles at the end of the hiring period and all refuse removed from the site.   A charge against the deposit will be made for any refuse not removed at the rate of £5 per sack.
  • If the booking is until midnight the hall must be cleared and vacated by then. Should this not be the case the Management may penalise the Hirer at the rate of £20 for every 15 minutes over-run past midnight.   Saturday functions must finish by midnight at the latest and discos should cease at 11.30pm.   However, it may be possible to obtain permission in advance from the Booking Secretary to return to the hall by 9am at the latest on Sunday morning to finish clearing up.
  • PARKING: Free parking but entirely at users own risk.
  • Hirers should ensure that vehicles are parked without obstructing other parked vehicles.   Exit doors from the Hall must be left unobstructed.
  • Hirers should limit the number of people attending to a maximum of 120 seated in the main hall to ensure comfort for themselves and safe exit in case of emergency.
  • In case of fire the Hirer is responsible for registering the number of people attending their function and accounting for them all.   They must ensure that all doors and windows are closed on leaving the premises and the emergency services are called.   Fire extinguishers for dealing with small outbreaks of fire are located around the building after the above measures have been undertaken.
  • When the halls are being used by more than one Hirer the privacy and prevention of disturbance to each other must be observed.
  • Damage to the wood strip flooring and defacement of walls etc., must be avoided. Consent of the Management must be obtained involving any proposed alteration to the Hall lighting or before any form of preparatory construction is carried out.
  • Hirers are responsible for ensuring that children remain within the confines of the hall unless accompanied by an adult.   They are not to play in the car park or trespass on neighbouring property.
  • No undue noise must occur to cause a nuisance to residents living within the vicinity of the Hall. Please keep discos at a reasonable level (91Db). Emergency doors should be kept closed.
  • ALCOHOL: The sale of alcohol is forbidden unless you have an appropriate Licence, a copy of which must be sent to the Booking Secretary prior to the event.
